Subject
G/L Maintaining Accounts : Overview of account information
Details
  G/L Accounts
The G/L Accounts folder contains icons that lead to forms for displaying and editing account information.

These forms let you create account records, display account balances, maintain budget information, view source-currency information, display transaction history and fiscal set comparisons, and set account permissions

  Chart of Accounts
Displays all of the accounts in the general ledger, in account number order, beginning with the account you specify.

The Chart of Accounts form includes the information entered for an account on the Detail tab in the G/L Accounts form, and it includes buttons that let you display account history, budget information, transaction history, fiscal set comparisons, and currency information (in multicurrency ledgers) for the account you selected.

  Accounts
Displays the information entered to define an account. You can use the form to look up information and to add, modify, and delete General Ledger accounts.

  Account History Inquiry
Displays opening and closing balances for the selected fiscal year and currency, net changes and ending balances by fiscal period, and totals of the year-end adjustments and closing transactions. When setting up for the first time, you can add historical data for accounts.

  Budget Maintenance
Lets you enter and display budget data for an account. If you have multicurrency accounts, you can enter budget amounts for each currency you use.

  Source Currency Inquiry
In multicurrency systems, you can display source-currency transaction amounts with their equivalent amounts in the functional currency for any fiscal period, including the adjustment and closing periods. Information includes the source-currency code and name (description), and the account balance in both the source and functional currencies.

  Transaction History
Displays the details posted to an account, including the batch number, entry number, posting period and date, source code, reference, description, posted amount, and quantity. In multicurrency ledgers, you can also view the source currency amount, exchange rate, rate type, and rate date.

You can choose to view the year and period for an account, and choose the source code and source currency (if you have a multicurrency ledger).

You can drill down to the original batch entry by double-clicking on the transaction.

  Fiscal Set Comparison
Displays the net changes or balances in each fiscal period for two selected fiscal sets. Also displays the difference between the balances of the two fiscal sets and the percentage of base represented by the amounts (the ratio of difference between the fiscal sets). You can see either the cumulative amount or net change by period.

In multicurrency systems, you can choose either the source or equivalent amounts for a specified currency.

  Create Accounts
Lets you create new account records automatically by:

  A range of accounts
  A range of account groups
  A specific segment code

Create Accounts lets you automatically generate new General Ledger accounts that have the same characteristics as a set of existing base accounts. For example, if you need to create a set of accounts for a new department, you can create a set of new accounts using the accounts for an existing department as the model.

  Account Permissions
(This icon appears in the G/L Accounts folder only after you select the option, "Use G/L Security" on the Account tab of G/L Options, then close and reopen your company database.)

Lets you define account access permissions for individual users.

Depending on the Default Access setting, you will need to use the Account Permissions form mainly to grant access to accounts, or to restrict it.
